How to Volunteer

Volunteering at a TMOM event is a meaningful way to give back and help those in need—all while being part of an incredible team effort. Whether you're a dental professional or a general volunteer, getting started is easy! Just follow these 3 simple steps:

 Create an Account
  1. ​Visit tmomvolunteer.org 

  2. On the top right corner, click “Login”. 

  3. On the right side of the login page, select “Create an Account.” 

  4. Enter your email and create a password. 

  5. You’ll receive an email with a verification link—click the link to verify your account. 

  6. Once verified, log in with your credentials. 

    Tip: Make sure notifications are enabled for the email you use—this is how we’ll send you important updates about events and shifts! 

About Volunteer Categories

When completing your profile, you’ll be asked to choose a volunteer category—this helps us assign roles, responsibilities, and ensure proper insurance and supervision coverage where required. It’s very important that you select the correct category! Here are the main categories: 

  • Dentist 

  • Dental Hygienist 

  • Registered Dental Assistant

  • Hygiene Student 

  • Assisting Student 

  • D1–D2 Dental Student 

  • D3–D4 Dental Student 

  • Pre-Dental Student

Your license information is submitted to our insurance provider so that you’re fully covered while volunteering.

Dental Students (D1–D4)

 Your category helps us verify your student status. If a faculty member is present at the event, you may be allowed on the treatment floor, depending on your level.

Your category helps us assign the right duties and place you where your skills and experience can best support the event.

Each category has unique responsibilities at the event. Choosing the right one ensures you’re scheduled appropriately and contributing meaningfully.

Important Volunteer Information 

As a TMOM volunteer, your experience starts well before you walk through the event doors. Here’s everything you need to know and do to get ready:

​When You'll Hear From Us 

Starting 6 to 4 weeks before the event, you’ll begin receiving emails with critical event details, including: 

  • Hotel booking and accommodation information 

  • Volunteer parking instructions 

  • Volunteer entrance location 

  • Check-in and check-out procedures 

  • Where to pick up your volunteer T-shirt and lanyard 

  • Event maps and role-specific information ​

These emails will be sent to the address you used to create your volunteer account, so be sure your notifications are turned on and check your spam folder just in case.

WHAT TO WEAR

Volunteers working multiple days should wear the same T-shirt and nametag each day. 

1. TMOM T-Shirt & Nametag

You’ll receive these at check-in. Please wear them during your shift. 

2. Scrubs or comfortable work attire

Scrub tops with pockets are highly recommended.

3. Closed-toe, supportive shoes

Hiking boots or sneakers are ideal. You’ll be on your feet most of the day.

4. T-Shirts

Dentists and hygienists: You're welcome to take a TMOM t-shirt, but wearing it during the event is completely optional. All other volunteers: We kindly ask that you wear your TMOM t-shirt at all times while working the event. You're welcome to layer it over another shirt or bring a change of clothes for comfort.

what TO bring

Label everything you bring to avoid loss or confusion. 

1. Loupes and Headlight (Dentists and Hygienists)

If you prefer your own, label them. Battery packs are ideal for mobility. 

2. Special equipment (Dentists and Hygienists) 

If you have favorite tools or instruments, you may bring them. Supplies are limited. You are responsible for your items at all times. 

3. Large, sealed water bottle

Write your name on it. You can keep it near your station. 

4. Backpack or small bag 

Use it to carry and store your items in designated areas. 

5. Snacks 

Especially if you have specific dietary needs. Meals/snacks are provided for most other needs. 

wHAT not TO bring

1. Large bags or bulky items 

No storage is provided.

2. Valuables, money, or ID

You won’t need them to volunteer. 

3. Expensive electronics

Only bring laptops or devices if you can keep track of them at all times. 

4. Unattended items in your vehicle 

Use it to carry and store your items in designated areas. 

5. Cell phones on the treatment floor

Please keep phones on silent and avoid usage while working with patients.

Final Reminder

TMOM provides all essential supplies and PPE. If you choose to bring your own items for comfort or efficiency, please manage them responsibly and understand that you are accountable for any personal belongings brought to the event. 

Wait Time

Volunteer Check-In & Check-Out 

Checking in and out of your shift isn't just a formality—it’s essential for proper record-keeping and for you to receive credit for your time.

Volunteer Certificates 
 

After the event, eligible volunteers will receive an official certificate that includes: 

  • Your full name 

  • A description of the event 

  • The total number of hours you volunteered 

  • Signatures from the TMOM Chair, and the Directors of TMOM, Inc. and TDA Smiles Foundation 

These certificates can be submitted to schools, residency programs, employers, or volunteer hour tracking systems as official documentation of your service. Certificates are not sent to your email, rather they will be available for download on your tmomvolunteer.org account 1-2 weeks after the event has passed.

Why Checking In and Out Matters

1. Tracks Volunteer Hours

We use check-in/check-out data to calculate the total number of hours you served.

2. Certificate Eligibility

If you fail to check in or out, you will not receive your certificate of participation.

3. Multiple Shifts, One Day

If you’re volunteering for more than one shift on the same day, you only need to check in and out once that day.

4. Multiple Days

If you volunteer on multiple days (e.g., Friday and Saturday), you must check in and out each day you serve.

​Letter of Recommendation for Truck Crew Volunteers 

TMOM also offers a Letter of Recommendation to any volunteer who signs up to assist with the unloading and loading of the Walmart truck—one of the most physically demanding jobs at the event.

This includes unpacking and setting up equipment before the event, and breaking down and reloading after the event concludes.

We deeply appreciate those who step up to help with this labor-intensive task—it plays a huge part in the success of each clinic. 

Your letter of recommendation will highlight your work ethic, reliability, and commitment to service, making it a great asset for academic or professional applications.
